Why Office Ergonomics Matters

Ergonomic Workstation Guidelines

How can you set up your workstation to reduce pain and enhance your performance? Below are key guidelines for creating an ergonomic workstation, which can be applied both by employees for their personal comfort and health and by employers to create a healthy and productive environment.

1. Ergonomic Chair

  • Adjust the height so that your feet rest firmly on the floor (or on a footrest).
  • Your knees should form an angle of about 90-100°.
  • A slight recline of the backrest (100°–110°) better supports the spine.
  • Your arms (elbows) should be close to the body, forming a 90° angle.

2. Ergonomic Desk

  • The height should allow your forearms to be parallel to the floor and your shoulders relaxed.
  • If the front edge of the desk is hard and not rounded, cover it or use a wrist rest to avoid strain.
  • Keep the space under and above the desk clear, so that micro-changes in body position are not restricted.

3. Monitor Placement

  • Keep the monitor at a distance of 50–70 cm (about an arm’s length away).
  • The top edge of the monitor should be at eye level or slightly below, so that you do not keep your neck in prolonged flexion or extension.
  • Place it directly in front of you to avoid turning your head.

4. Keyboard & Mouse

  • Place them on the same surface, directly in front of you.
  • Their height should be such that the wrists remain in a straight, neutral position (not bent up or down).

5. Laptop

  • For prolonged use, use a laptop stand to raise the screen to the correct height.
  • Connect an external keyboard and mouse to allow a more neutral position for the hands and wrists.

6. Frequently Used Items

  • Place your phone, notebook and other items close to you, so that you can reach them easily.
  • For frequent phone calls, prefer a headset to avoid holding the phone between your shoulder and ear.

What else should we pay attention to, beyond the workstation itself, to ensure a truly ergonomic environment? Besides the ergonomic design of the workstation, it is equally important to pay attention to the wider space. The way it is organised directly affects comfort, concentration and productivity.

1. Lighting

  • Ensure sufficient natural light, to reduce eye fatigue and boost mood.
  • Avoid placing the monitor in front of or behind windows. It is preferable for employees to have windows to the side, so that reflections on the screen are avoided.
  • Use uniform artificial lighting (e.g. a desk lamp with adjustable intensity) so that it adapts to the needs of each task.

2. Free Space & Organisation

  • Keep enough free space around the desk for easy posture changes and movement.
  • Avoid storing items that restrict the legs or micro-movements.
  • Keep the work surface tidy, to reduce mental fatigue and increase concentration.

3. Noise Control

  • Reduce noise with sound-insulating materials or the strategic placement of furniture, so that frequent movements are avoided.
  • In offices where many people work together, use headphones to reduce distractions.
  • Create “quiet zones” for tasks that require increased concentration.

The contribution of ergonomics is significant for comfort and the reduction of pain; nevertheless, it cannot on its own ensure our musculoskeletal health. Prolonged inactivity remains the main risk factor.
